Privacy Policy
Website: https://digitalmedicine.vn | Last updated: 14 October 2026
Digital Medicine Vietnam (DMVN) respects the privacy of people who visit our website, contact us or engage with our professional activities. This Privacy Policy explains the types of personal data that may be handled through digitalmedicine.vn, why we use it and how individuals can exercise their rights.
1. Who is responsible for this website?
DMVN is an initiative developed and operated by VietnamWellcare Company Limited (VietnamWellcare), a company established in Viet Nam. VietnamWellcare is responsible for personal data processing associated with this website where it determines the purposes and means of that processing. Contact: info@digitalmedicine.vn. Business address: 68 Nguyen Hue, Sai Gon Ward, Ho Chi Minh City, Viet Nam.
2. Information we receive
Information you choose to provide. If you email us or contact us about a publication, professional collaboration, training, research or another inquiry, we may receive your name, professional role, organization, email address, telephone number, the content of your message and any materials you choose to provide. If a separate event, registration or subscription feature is introduced, additional information and choices should be explained at the point of collection.
Technical information. Ordinary website delivery, hosting and security processes may generate limited technical records, such as IP addresses, device and browser characteristics, access dates and times, requested pages, referral information and security events. The precise technical information available to us depends on the service providers and features actually configured for the website.
We do not ask visitors to submit patient records, medical images, identifiable clinical cases or other sensitive personal data through our general website contact channels. Please do not send such information unless a separate, appropriately protected arrangement has been agreed in advance.
3. Why we process personal data
We use relevant personal data to respond to inquiries; assess professional or organizational collaboration requests; provide information specifically requested; administer agreed activities or projects; protect the website and its users; maintain necessary business records; and meet applicable legal or regulatory obligations. Where a newsletter, event invitation or promotional communication is offered, we will use personal data for that purpose only when we have an appropriate legal basis and will provide a way to stop receiving it.
We seek to limit personal data collection and use to what is relevant and necessary for the stated purpose. We do not sell personal data. Receiving a response to an inquiry does not, by itself, mean that a person has agreed to unrelated marketing.
4. Consent and other permitted grounds
Where consent is required, we seek it in a clear, specific and verifiable way. Some processing may be permitted or required without consent under applicable Vietnamese law, for example where a relevant statutory exception or legal obligation applies. Individuals may withdraw consent for consent-based processing, subject to lawful exceptions and consequences explained when relevant. Withdrawing consent does not automatically undo processing already lawfully completed.
5. Cookies, website functionality and third-party services
The website and its service providers may use cookies or similar technical functions needed to deliver pages, maintain security or support website functionality. Additional technologies, such as audience measurement, embedded media or marketing tools, may collect usage information if those features are enabled. Any non-essential tracking that requires consent will be subject to appropriate notice and user choice before use.
You can use your browser settings to manage or delete cookies, although some features may work less effectively if necessary technical functions are blocked. Clicking an external link or using an embedded third-party service may cause that third party to process information under its own privacy terms. We encourage users to review those terms.
6. Sharing information with others
Personal data may be accessible to staff or authorized service providers who need it for website hosting, email, technical support, security or the handling of a requested activity. We expect relevant service providers to apply appropriate confidentiality and data protection safeguards. Information may also be disclosed where required by law, a competent authority or a lawful process, or where necessary to protect legitimate rights in accordance with applicable law.
We do not treat an exploratory collaboration inquiry as permission to publish the sender’s contact details, confidential materials or project information. Any broader sharing for a specific research project, patient-data activity or commercial engagement should be addressed in separate notices and agreements.
7. Processing or transfers outside Viet Nam
Some hosting, communication or technology providers may operate systems or support services outside Viet Nam. Where an international transfer of personal data takes place, VietnamWellcare will address the applicable requirements under Vietnamese personal data protection law, including relevant documentation, assessments and safeguards where required. Such transfers depend on the providers actually used and the applicable legal exemptions.
8. How long information is kept
We retain personal data only for as long as reasonably needed for the purpose for which it was collected, subject to applicable legal requirements. As a working retention rule, ordinary inquiries with no continuing engagement are retained for no longer than 24 months after the last substantive interaction, unless an unresolved matter, legitimate legal claim or lawfully required recordkeeping period justifies longer retention. Information forming part of an active engagement or contract may be retained for its duration and any applicable legal, accounting or dispute-related period. Technical log retention depends on documented hosting and security schedules.
When retention is no longer justified, we seek to delete, anonymize or securely dispose of the relevant data, subject to technically necessary backup cycles and mandatory retention obligations.
9. Security and incident response
We aim to use proportionate organizational and technical safeguards, such as restricted access, secure account management and appropriate controls over suppliers and information sharing. No internet-based transmission or storage method can be guaranteed to be completely secure. We assess suspected personal data incidents and take the response, remediation and notification steps required by applicable law.
10. Your rights and how to make a request
Subject to Vietnamese law and any applicable exceptions, individuals may have rights to be informed about processing; give or withhold consent; access, obtain or correct their data; request deletion or restricted processing; object to certain processing; withdraw consent; and submit complaints, reports or claims through appropriate channels.
To make a request, email info@digitalmedicine.vn with the subject “Personal Data Request” and enough information for us to identify the relevant communication or data. We may need proportionate identity verification before releasing or changing personal information. We will explain the applicable process and respond within the deadlines required by law. Individuals may also contact competent Vietnamese authorities where they believe their rights have been infringed.
11. Children and sensitive information
This website is designed primarily for healthcare professionals, organizations, researchers and other adult users, not for children. If we learn that we have received a child’s information or other sensitive information without an appropriate lawful basis, we will review the circumstances and take suitable protective action. Separate safeguards and documentation are required for any future clinical research, AI evaluation or project involving patient or sensitive personal data.
12. Policy changes and contact
We may revise this Privacy Policy if website features, service providers, legal requirements or our activities change. The date above indicates the latest version. Material changes will be communicated in an appropriate manner where required. Questions about this policy or our handling of personal data may be sent to info@digitalmedicine.vn.
